I know Las Vegas and LA would be mildly expensive, but not unafordable if given enough planning time.   Atlanta, Miami, and Fort Lauderdale would be cheap or very affordable from where I am, but I've no idea about play spaces/lifestyle in any of those areas, so will have to defer to folks who know for a final decision.   I would obviously like to meet many folks here, but can only do it if it's affordable.     M

I think planning two events, one on the spring and the other in the fall would be best. 
The winter snow and ice makes traveling difficult for many people.  The summer is high tourist time
and the prices are the most expensive. 
The off-season, before Memorial Day and after Labor Day,
offer the best prices.  It is also more expensive and a
logistical nightmare to plan anything between
Thanksgiving and Christmas time!  
 
There seems to be three different ideas running through here -
#1 meet at a major event already planned and organized by others
#2 meet in a major city, we do the planning
#3 meet in a rural area and have a campout, we do the planning
 
Many hotels will offer group rates and package deals and it is
easy to charter a bus. We do have to take into consideration the
gas prices and look into the best choices of traveling by planes,
trains, automobiles or bus.
 
I worked for several years in the hotel, restaurant and tourist
industry.  If there are any specific questions needing more research,
please let Me know.  Keep your Triple AAA cards handy!

Without talking too much about my "vanilla" life - I am actually a professional meeting planner - this type of stuff is what I do day in, day out (when not tormenting willing subs ...).  But, I always tell clients almost EXACTLY what Merc & Beth were saying - all the "I wanna go to Vegas (or LA or Atlanta or ...)" comments in the world do not cover the contractual obligations, deposits and legwork required to get something like this moving.  The poll will definitely be helpful, but you can hardly get a family of 5 to agree unanimously on a summer vacation, and here you are speaking of a community of hundreds of anonymous (free) subscribers.  So, to repeat why M&B said, someone will just have to say - "It's in location X on date Y for price Z.  If ___ (quantity) of people do not sign up by the deadline, the event will be cancelled."  
 
I am very happy to use my expertise to assist in any city, and if the selected city is Vegas, my contacts with the local venues to help find a location.  If you would like to discuss in more detail, email me here on collarme and we can review some options.

I agree with the deposit idea of $50, because if one is unwilling to part with $50, he/she most likely will not make any real effort to attend an event, especially if it costs something and is out of state.      M

This sounds like it would be a hoot... just make it someplace that I don't need an interstate to get to... Brieze, my scooter, isn't highway legal, and I'm enjoying it so much I never want to get into one of those boxes called a "car" every again... much less pour myself like cattle onto a flying refrigerator!

(oh... and she only holds a gallon and a half of fuel at a time -- about 120 miles worth... so small towns to get gas is a -good- thing!)

I had a thought here... maybe one of the casinos in Louisiana would be an option -- with some kind of benefit for hurricane restoration via our community. It's warm year round (which is really nice when one is briefly clad), there is rarely ice and snow on the roads (especially in southern Louisiana), the hotels aren't exhorbitantly expensive -- there are many nice ones that are reasonably priced. It is centrally located... AND Louisiana could really use the tourist trade.

To reinforce what Merc & beth and a couple of others have said, I was on the planning and development committee for a brand new pagan/alternative-spirituality festival on the East Coast some 10 years ago... it was a HUGE undertaking, even for the small scale that we were looking at. Having a dedicated committee to begin the process is mandatory -- without organization, it won't be a pleasant experience for anyone, because of the sheer number of things that can go wrong. On the other hand, putting the festival together was one of the most fulfilling and mind-bending experiences of my life. I would do it again in a heartbeat, and feel blessed and honored to have been on the Organizing B.O.D., and the first 3 years core staff for this now-thriving festival.

I think that's a wonderful idea. Not sure exactly how to do it as a fund raiser, maybe people could bring some stuff to get auctioned off and turn over the funds from it? Or... *weg* we could have a mock slave auction?

Or both... have several events...maybe one for hurricane restoration, and one for some Lifestyle Community cause that the organizing committee agrees on, so that individuals could participate in something that interested them while contributing to the community at large... and make sure that the rest of the event gives people a reason to want to be there, plus PLENTY of time to just sit around and talk to all of the people that they've communicated with virtually here.

"Bottom-ish" auction
White Elephant Toy Auction
"Top-ish" auction

...maybe even a service or large-item raffle -- the item(s) to be raffled being donated, and the proceeds going to some cause. It might do for our community what it did for the Hells Angels. *grins*

Perhaps a good solution to the little quandary. Two seperate events may be in the best interest for all.

Merc made agood point that this would be a splendid thing if in fact so many who have already scheduled to attend such an event would more than likely have a full plate, thus may not be the most plausable of scenarios.

This would indeed require a good deal of planning and there should be some semblance of a commitee that could accomplish such. I hereby nominate the following for said commitee: myself, Merc & beth, Vendaval, Bluebird, LadiesBladewing, and of course anyone else who feels compeled to take part and can contribute something other than merely taking up precious space, which is where I fit in nicely. These are just my thoughts if anyone is interested.

This looks and sounds very enticing, and must say that I would definitely enjoy it, but I feel that there are far too many obstacles of 'roughing it' that many here are not fully aware of, nor may be able to effectively deal with when faced with the reality of such. But would be wonderul if could be done as an option. I know I would attend if it were to happen, but I like 'roughing it'. Not to mention the fun that can be had in such a setting.

That's a great idea and a good cause for a fund raiser. I LOVE the "Big Easy" and would be the first to commit to such an event. A great contest would be to have all the subs and slaves go on Bourbon Street and the one who comes back with the most beads wins a prize. Yes males can get beads too! They just have to work hard(er).

All we need is a local organizer, a local facility willing to allow people or whom they have no knowledge use of the club, acceptable dates, and reasonable costs.

LAX to New Orleans is $377/person. Wonder how many who are voting in the poll thread are serious enough to have checked the cost of getting wherever?

The biggest challenge that I see with the rural/camping version of the festival is that there are many members of our collective here who are mobility-challenged or otherwise unable to "rough it". I know that setting up as a "No Frills Camp-out" would rule me out... with MS, camping without AC during the summer virtually guarantees me a flare that would cripple me for a couple of months -- as much as I enjoy y'all, that's not viable for me. *chuckles*

Ok.. I'm ready to say Yeah, I'm willing to contribute what I can.

One more thing I'd like to mention... this isn't going to happen -quickly-... putting something of this magnitude together is going to take somewhere in the neighborhood of a year to do well... Just getting a venue for the time that we want and negotiating a group rate (for which we would likely have to guarantee a certain attendance), will often take up to 6 months. The first time I said "Hey, that's an awesome idea, let's do it...", I was naive... no regrets, but it challenged me on LOTS of levels (and we had a few people who dropped out because they didn't understand how much work it would be.) We tried to pull it off in 8 months and it damn near killed us (the committee was 7 people). I ended up serving on the committee for 3 years and had some of the best times of my life working on CSQ. I'm ready to do it again!

I admit, Vegas was my first pick, but Loki's forest could be interesting...lol. Since it sounds like this would be a bit of time before it materialized, I guess about anywhere in the country except Cali (sorry Merc) would work for us. I did like the Louisiana idea, would be somewhat centrally located and I would think the fund raising idea would open quite a few doors.
